Children's Flight of Hope Office Coordinator
POSITION OVERVIEW
The Office Coordinator is responsible for ensuring smooth day-to-day administrative operations for our growing nonprofit and providing support to the CEO. This role provides key administrative support across development and operation. Other primary duties involve calendar management, travel arrangement, and meeting support. This position reports to the Chief Operating Officer, while working regularly with others on the team. This is a non-exempt, part-time position working in the Raleigh, NC office Tuesday, Wednesday, and Thursday.
RESPONSIBILITIES
General Operations & Development Support:
Coordinate office logistics to include but not limited to service vendors, supplies and equipment.
Coordinate all aspects of mailings throughout the year.
Execute the timely process of donation reconciliations and production of donor acknowledgments.
Provide administrative coordination for occasional full-team projects, such as the annual report.
Provide organized documentation support for the annual financial audit and 990.
As part of a small staff, assist with ad hoc efforts and initiatives as time, abilities, and priorities allow.
Executive Support:
Maintain calendars for the CEO by planning and scheduling meetings, conferences, and travel.
Prepare monthly credit card expense tracking and reporting.
Track and manage key deadlines for deliverables.
Anticipate requests, needs, and materials with a proactive approach.
Prepare materials for committee meetings, board meetings, and speaking opportunities, including presentations, agendas, attendance, and meeting minutes.
QUALIFICATIONS & ATTRIBUTES
Bachelor’s degree, preferred, or equivalent combination of education and experience.
1-3 years of experience in office management, administrative support, event or fundraising support.
Strong attention to details and organizational skills and the ability to prioritize and manage multiple responsibilities to meet deadlines.
Exceptional customer service and interpersonal skills, including oral and written communication skills.
Ability to take initiative, work independently, anticipate needs, and flex accordingly.
Proficiency with Microsoft Office Suite, including Power Point, Word, Excel, and Teams.
Experience with calendar management.
Collaborative spirit as part of a small team making a big difference.
Salary and Benefits
This part-time position offers a competitive hourly rate of $23-$28/hour based on relative experience and skills, along with Long-Term Disability coverage for added peace of mind.
